Don’t worry, we didn’t write this article to hit you with team related clichés like “there’s no “I” in team.” Or, “Talent wins games, but teamwork wins championships.” Or, “No one can whistle a symphony.” Because we didn’t write this article to dole out meaningless quotes that will make you feel better about not doing better. Instead, we’ve written this article - and created Excel templates - to help you improve your team and achieve success.

To help manage your team’s progress, we offer a Team To Do List template with an automated progress bar, for each team member, in both a separate team member view and a team summary view. So remember - “teamwork makes the dream work!”

Below are the worksheets included in this template.

Summary Worksheet

A summary view of total progress for each of 10 team members. Progress represents percent completion of all tasks for each team member.

Team Member Worksheets

Each team member has a separate To Do list worksheet with status tracking and space for up to 25 tasks.

Using the Template

Personalize it

You can personalize both the team summary worksheet and each individual member To Do list worksheet. Click into cells containing title examples to overwrite them with your own title.

You can also enter a date or any other information anywhere on the To Do lists, or in the designated sections.

Summary Worksheet

The summary worksheet will likely be used by a team captain or manager to monitor the team’s progress. The summary worksheet comes with examples of names (“John Doe”). To enter your team member names on the summary page click on each “John Doe” example link , which will take you to a team member worksheet. Once you enter the team member’s name in the separate worksheet, it will automatically appear on the summary page. Click on “Back to Summary” to see results of your entry.

Repeat these steps until you have a full team roster with real names.

Team Member Worksheets

Each team member worksheet includes a progress bar, which is also reflected on the summary page. Enter up to 25 tasks. Once a task is completed, the progress bar will automatically update. However, in order for the progress bar to capture results, you must enter a status in the status column for each completed task.

Note: The formula considers any word typed into the status column to indicate task completion.

Tip: You may want to share this template with your entire team so that each member can manage their own To Do list and progress.

Freeze Panes

By the time you scroll down to task #19 your column headings will disappear. To avoid this, use the Freeze Panes option to keep your column headings in place no matter how far down you scroll.

To freeze your column headings, click into a cell under the row displaying column headings. Next, go to the “View” menu and select the first option under the “Freeze Panes” dropdown.

Note: You must be in either “Normal” or “Page Break Preview” view to freeze panes.

Customize

Expanding Member To Do List

If your goal is to execute more than 25 tasks for each team member, you can expand the list to include as many tasks as needed. To expand the list, copy (Ctrl + C) the last row of the list and “Insert Copied Cells” to include more rows for tasks. Then, edit the rows as needed (e.g. rename Task #26, Task #27).

Finally, edit the formula in cell D7 to include new rows (e.g. D10:D36 and C10:C36).

Change Color Scheme

You can modify team summary page and team member To Do lists with different color schemes. Perhaps a teal background color for an Ocean Diving and Research Team? To change the background color, highlight all relevant cells and use the “Fill Color” tool to select a color. To change text color, repeat these steps and use the “Font Color” tool.

You can also modify button link and progress bar color. For example, to change button link color, right click on the “Back to Summary” link.

Use the tools from the pop up menu, shown above to change style, color, and outline. Alternatively, you can use the format shape menu, for further editing, by selecting “Format Shape” from the pop up menu.

Repeat these steps to modify color scheme for other objects, such as progress bar.
