When we hear someone say, “Work smarter, not harder,” we think, “Prioritization.” Sometimes we won’t be able to complete every single task, no matter how hard we work. But we can still be successful by identifying and focusing on the most important tasks. To help you tackle the important tasks, we offer a To Do list template that is geared toward prioritization. This template contains 3 different To Do list formats.
Template Contents
Below are the worksheets included in this template.
Columns and Rows
A To Do list organized by 3 priority levels - high, medium, and low. Each level includes space for up to 20 tasks. Each task includes a “due date” and “status” section.
Table
A To Do list which allows you to set the priority and a due date for each task. Enter up to 25 tasks. A notes section is also provided at the bottom of the list.
Status and Progress
A To Do list which allows you to set priorities. Completed tasks are reflected on an automatic progress bar. Enter up to 12 tasks.
Using the Template
Personalize it
Add a personal touch to any of the 3 worksheets in this template. Enter your name and change the title by typing directly into the cells containing the name and example titles. On some lists, there is no designated area to enter a date, so enter a date anywhere you’d like, as shown in the example below.
Example. Use the space provided to enter any personal information. If more space is required, simply insert more rows at the top.
If you prefer to write your list by hand, the old-fashioned way, just hit print - our worksheets are already formatted to fit on one page.
Columns and Rows Worksheet
This list makes it easier to decide how important a task really is by giving you only 3 priority categories - high, medium, and low. All high-priority items are at the top of the list. The rest of the categories (medium and low) are underneath. To hold yourself accountable for completing your tasks, enter a due date and a status for each task.
How you track status is up to you. In the example above, we use common status tags such as “complete” or “Pending.” But you can get creative and use other methods, such as color codes (e.g. yellow = Not Done. Blue = “Done”).
Table Worksheet
This To Do list format is simple, yet allows more flexibility when setting priorities. For example, you can choose to have a very narrow priority range (A, B, and C) or a wider range (A1, A2, B1, B2, C1, C2, etc).
Enter a due date for each tasks to stay focused! Completed tasks can be marked off with a checkmark. To enter a checkmark into the box provided, use the “Wingdings 2” font type and enter an uppercase “P” into the box.
There are other ways to mark off completed tasks. For example, you can simply enter an “X” into the box or use the “Strikethrough” format to cross off the completed tasks. To cross off a completed or canceled task, right-click on the cell containing the task, select “Format Cell” from the pop up list, and check the “strikethrough” box under “Effects.”
Status and Progress Worksheet
This To Do list worksheet provides instant satisfaction, as you watch the status bar climb with each completed task. Enter up to 12 tasks in this simple, automated list. You can set priority for each task by selecting a number between 1 and 5 (1 = highest, 5 = lowest). Once the task is complete, simply click inside the box to check it off. Each completed task will be highlighted in purple.
Note: In order for results to be captured in the status bar, priority selection must be made and a checkmark must be placed in the box for each task.
New Lists and Historical Records
Can’t remember what happened yesterday? Now, you don’t have to worry about it - start saving previous priority lists for future reference. To duplicate a previous list, right-click on your preferred priority list worksheet and select “Move or Copy” from the pop up menu. Next, select “Create a copy” and click “OK.”
Rename new worksheets as needed.
Finally, reset the date on the original worksheet and delete any completed tasks or other information that you don’t want to carry over to a new list. Repeat the process to save another list.
Customize
Change Color Scheme
You can modify your priority To Do lists with different color schemes. Maybe an urgent red and black theme or a cool, calm, and collected icy blue theme? To change the background color, highlight all relevant cells and use the “Fill Color” tool to select a color. To change text color, repeat these steps and use the “Font Color” tool.
