Writing visitor names down on a pad or collecting realtor business cards are traditional methods of capturing information about attendees. But, they are frequently ineffective at securing the data you need to gauge visitor reaction or to contact attendees after the showing is finished.

Four Convenient Formats
Our Real Estate Sign In Sheet template provides four convenient formats. While initially designed for use with residential homes, they can also be adapted for commercial properties.
Each format is used for capturing information on who has visited your Open House so that you can gauge its success and know how they can be contacted later for follow-up.
This is an Excel file, so the only thing you’ll need to get it up and running is a computer with Excel.

The Open House Portrait Format
This format offers a basic sign-in sheet in the “Portrait” page layout (i.e. top-to-bottom), ready for use. All you need to do is fill in the information at the top and you are ready to go!
Here is an example of the Portrait format opened and customized for an open house conducted by ABC Realty company.
Note that there is a space at the top of the form to place your logo or other information regarding the event or the property. The Heading does not appear on the printed page unless you fill it in.
The first line is used to show your company as having the property listing.
Use the second line to identify the property and the market it occupies for the potential buyer or their agent. The basic presumption of any of these forms is that the owner is selling the property. However, this line could also indicate whether the property is rented and if so provide information on the tenants.
The third line is used for the property address.
Attendee information is intended to be provided by the visitors to your Open House. Be sure to situate yourself near the entrance to make sure that each visitor provides the requested information.
As designed, this format will print fifteen entries to a page. Print as many as you think you may need.

The Open House Landscape Format
This format is virtually identical to the previous one. The major difference is that the page runs left-to-right rather than top-to-bottom. An example of this format is shown below.
The advantage of this format is that, since the page runs from left-to-right, there is more vertical space for the visitor to write in. The disadvantage is that, as designed, only seven names can fit on a single page.
All other formatting and customization options are available for this format, just as with the Portrait format.
Neither is “better” than the other. The deciding factor will be the number of names you want on a single sheet and how much room for writing you want to allow.
The Home Showing Agent Format
Whereas the two prior forms are designed to record basic visitor information, this form is structured to provide additional data on each attendee. This additional information can be crucial to follow-up activity aimed at closing a sale or obtaining a rental agreement. An example of this format is shown below.
With this format, you not only record the name, phone number, and email address of each visitor, but you also obtain their personal/business address and pertinent financing information.
The format also requests feedback specific to the property being shown. This information can be invaluable when evaluating changes to the property intended to make it more appealing.
Because this format is in Landscape mode and the attendee is asked to provide more information, the number of visitors per page is reduced to five. Should you require more names per page, you can modify the number of attendee records by utilizing the Print Options that are available for customization.
Open House Sign In Simple Format
Again, this is a fairly basic format but does allow the collection of more information on each visitor. An example of this format is shown below.
As with the others, this form also captures information that should enable you to gauge the success of your event and follow up on visitors as you elect.
Note the block at the top where you can insert your company’s logo or another image.
The form is in “Landscape” orientation and provides twelve entries per page. All other customization options apply to this format also.
Which to Choose?
This template offers an excellent variety of professional Sign In Sheets, all of which are suitable for use at any Open House. Your follow-up on the information collected will improve your chances of closing a sale or obtaining a rental agreement.
