Why would you need a visitor sign-in sheet? Keeping track of your visitors can help improve safety and protect on-site confidential information. Do you know who is visiting your building right now? Do you know where they are? If you can’t answer those questions, it might be time to implement a visitor management system.
An inexpensive visitor management solution is to use a printable sign-in sheet. The paper and pencil style of monitoring who is in the building has been used for years. It’s a practical solution for tracking vendors, contractors, customers, and intra-departmental movement among your staff. A simple sign-in sheet is perfect for many smaller businesses, colleges, clubs, or any other facility where having an app, or another digital method of screening visitors, is not necessary or prudent.
Template Contents
This template contains five unique variations of a visitor log. They can each be customized to meet the specific needs of your company.
The worksheets are all designed to fit on standard US letter sized paper. Some are in portrait mode and others are oriented in landscape.
Below is a quick explanation of some features of this free printable sheet template.
In and Out Portrait Visitor Sign In Sheet
A daily sign-in sheet template, you can collect six different pieces of information about visitors with this form. It does ask visitors to sign out when they leave.
It’s designed in portrait format, so you can easily store it on a clipboard.
In and Out Landscape Visitor Sign In Sheet
This form to track visitors is nearly identical to the one above. However, it is designed in landscape mode. This gives your visitors a little extra space to write.

In Out Simple Black and White Visitor Sign In Sheet

How to Customize the Visitor Sign-In Sheets
General Customization
Each of these forms can be customized to better meet your company’s needs. Here are four ways you can change any of these forms:

- Add company branding with font and/or color changes,
- Add or change the header to reflect your company name, and
- Type in any information that can be added before printing (the date, location, etc.).
Specific Customization
While the four customizations above can be used on any of the forms, there are two templates that require a little additional work before they are ready to use: the Campus Visitor Sign-In Sheet and the Building Visitor Sign-In Sheet.
Here are specific customization instructions for these forms:
Campus
This form has very specific directions underneath the header. It’s essential to make any changes necessary to ensure the wording matches your school’s campus visitor policies.

Once you have your logo added, verify that the types of visitors listed in the parenthesis are accurate. What types of visitors does your building receive? This sign-in sheet makes it easy for them to quickly check the correct box after they’ve written their name, the date, and who they are going to visit.
How Do You Use These Visitor Sign-In Sheets?
Though there are five different versions of a visitor sign-in sheet in this Excel document, you can use the same procedures with them all.
Once you have downloaded and customized the form, print it out. Verify that you have entered the correct date (if applicable). Then, attach the form to a clipboard or use a three-hole-punch to create a visitor log book.
You want the sign-in process to be simple for your visitors. Make sure you have a couple of pens nearby, and that you store it in a central location.
As visitors arrive, they complete the form, adding the information requested. Then if necessary, they sign out when they leave.
