Event sign-in sheets are a line of communication, allowing you to keep track of volunteers who want to help, gather contact details like phone numbers or email addresses, and document the number of guests who attended with each paid member.

Template Contents
This printable Excel template has four different sign-in sheet worksheets available. Each of these forms serve a unique purpose. They are also each customizable, so you can add your branding or even just the name of your event.
This file is designed to be printed on a standard US letter size piece of paper. There are two worksheets with landscape orientation, which provides maximum space for guests to write. There are two in portrait orientation, which allows for the maximum number of entries per printed page.
The sign-in sheets are all:
- Useful in expediting the sign-in process,
- Simple to prepare, and
- Easy for your event attendees to use.
To help you decide which form will be best for your next event, below you’ll find a quick overview of what makes each of the four templates different from the others.
Black and White Sign-In Sheet Template
This sign-in sheet template is in portrait orientation, with room for 45 attendees per page.
There’s room for a customized welcome message at the top, which can help set the tone for your event.
Color Event Sign-In Sheet Template
If you want to add a touch of color to your sign-in sheet to match your branding, this is a great choice. There’s even room at the top for a welcome message or your company logo.
This template also allows for you to track attendance to multiple activities within an event. Underneath the header, there are six columns of information. You can fit up to 15 rows of entries per page, though this number will vary based on the size of the logo you use at the top.
Member and Guests Sign-In Sheet Template
When you host a members-only event, how do you keep track of their guests? This simple form can help you document how many guests attend with each paid member. It prints in portrait orientation
Because of the final four columns, this event attendance tracker isn’t necessarily one you should set out on a clipboard and let guests fill out on their own. They could be confused with the options. Thus, this attendance tracker is a good option for a host to use at the front door.
Your event host can greet the guests and accurately record the guest’s name, and document how many guests they are bringing. Then they can note whether or not the attendee was on the event waiting list.
4 Per Page Sign-In Sheet Template
Volunteers help make events happen. If you are looking for a way to collect contact information for attendees who want to help in the future, this spreadsheet is what you need. Each page prints in landscape orientation, with four different sign-in spots per page.
This sign-in sheet allows people to provide a variety of contact information, as well as indicate which one is the best way to get a hold of them. This form also allows participants to check off boxes to indicate which areas they are interested in helping with.
How to Customize
Did you decide which event sign-in form template will best meet your needs? Great! Now it’s time to customize it.
For any of the forms, you can do the following:
- Change the prepopulated text to collect information to meet your needs (arrival time, event name, contact information, event registration details, etc.),
- Add your company and/or even name,
- Change the font or font color,
- Check the wording of any directions on the page and change as needed to reflect your event,
- Ensure any “sample data” still matches the columns and the options at your event, and
- Fill in the numbers down the side to help keep it simpler for your guests .
Once you have made these changes, the Black and White Sign-In Sheet Template and the Member and Guests Sign-In Sheet Template are ready to use.
The other two templates have specific changes that you can make to further customize your form.
Color Event Sign-In Sheet Template
This colorful sign-in sheet can be a fun way to match your brand. When you download this template, it will be a soft green color. You can change that to any color you’d like by following the directions in the following link:
Add or Change the Background Color of Cells
If you look at the header, you will notice a simple “Welcome” graphic. You can leave this, or replace it with a different image. This upper right-hand corner would be a good spot for a logo, or an event specific image. Because it isn’t a large space, a smaller, less detailed image will work best.

Since this form has a place for guests to indicate which activity they are participating in, it might help to create a quick list for them to reference. You can type this up and print it out to display nearby. That way you can help expedite the sign-in process and make it easier for your attendees.
4 Per Page Sign-In Sheet Template
Since the layout of this form is different, it will require a little extra customization. Any changes you make to the first box will need to be repeated on the other three. That way all of your sign-in sheets are customized for your event.
After printing, consider cutting apart this template. This will help protect your volunteers’ information. If someone is just working with a single form, the people who sign up next can’t see anyone else’s home address or phone number.
How to Use
Once your forms are customized, they are ready to use. When your participants arrive, they can sign in or a host can take their information.
