Why Use This Template to Create Your Gantt Chart?
It’s possible for a poorly planned project to still be finished. In fact, it happens all the time. Another option for creating Gantt charts is online software. Many tools give you a free trial, but you still end up paying after the trial ends. And even if you find a good free tool without a price tag, the drawback of online Gantt chart software is that you can’t work offline.

How to Use Free Gantt Chart Template
Enter Your Project Basics
Just like laying the foundation for your project, you’ll want to do the same when you create a Gantt chart. The best place to start with this template is with the basics - the Project Name, Description, and Leader. These reside in the main Gantt chart section.
Simply click each line and enter those three pieces of information.
Add Your Project Settings
The Setting area on the left keeps your project settings in one spot for easy access.
This is the next section you should complete. It includes the following settings:
Date Information
Grab all of the dates relating to your project for this first area of the settings. These will apply to your summary project timeline in the Gantt chart area.
- Start Date: Enter the start date of the project.
- End Date: Enter an End Date and mark the box if your project has a fixed end date. Or, enter the Week Period and mark the box if your project has a fixed week period.
- Working Days: Mark the boxes for the correct workdays for your project.
- Today’s Date: Mark Actual and the current date will automatically display. Or, mark User Defined and enter your own date.
- Level Type: Enter the level type for your project, whether WBS (Work Breakdown Structure) level, up to three levels, or a custom style. For example, you can use a WBS style: A; A.1; A.1.1.. or a non-WBS style: 1; 1.1; 1.1.1..
Days Marker
Each setting in the Days Marker section is a Yes or No entry. Select the answer box and either type Yes or No, or use the arrows that display. These entries will populate your Gantt chart to help you determine and monitor your overall project timeline.
- Today: Display the current date on the Gantt chart. This will have a blue border.
- Holiday: Display non-working and country holidays on the chart. Non-working days will be red and country/national holidays will be orange. (See Enter Holiday and Leave Dates below for more details.)
- Leave: Display a project team member’s leave dates. These will be dark violet.
- Start/End: Display the start and end of a task period. These will be black.
- Passing Days: Display the number of days from the start of the task until the current date. These will be gray.
Display
The Display setting lets you view your Gantt chart within a custom timeframe.
- Window: Choose from eight, 15, 32, or 52 for your week period.
- Slider: Choose from Weekly or Same as Display Setting. This allows you to scroll per your preference.
Alert
The handy Alert settings help you stay on top of tasks with reminders. For each setting, type in the box or use the arrow for your choice.
- Remaining Days: Choose No for no reminder or select the number of days, from one to seven. This will display the remaining days in red.
- Maximum Parallel Tasks: Choose No for no reminder or select the number of tasks from one to four, for tasks per team member. This will display the remaining tasks in red.
Enter Holiday Lists and Leave Dates
Before you jump into the Gantt chart area, it’s a good idea to enter any holiday or leave dates you have upfront. This allows you to only need to update the tab as new non-working dates arise.
Just select the tab for these dates and enter national, company, and/or personal holiday dates into the appropriate sections. These will then display as described above if you set the Holiday marker to Yes in the Setting area.
Create Your Gantt Chart
Now that you have entered the basics, adjusted the settings, and popped in the non-working days, it’s time to create your all-important Gantt chart.
Below the basic information that you set up at the start of this tutorial, you’ll see the summary timeframe information that you entered into the Setting area. Following that, you’ll see your Gantt chart.
The first four to five columns of the chart are ready for you to enter your data. These may differ depending on whether you’re using a personal or team template and can include:
- Level: Enter the levels as you set them under Level Type in the Setting area.
- Task: Enter a short name or description for the tasks and subtasks.
- Assignment: Enter the team member’s name assigned to the task.
- Start Date: Enter the task start date.
- Finish Date: Enter the task finish date.
After entering the information in these columns, you will see the taskbar on your chart. Next, move onto the remaining sections to complete the chart.
- Working Days: Displays the number of working days within the task based on your Working Days selections in Setting along with any non-working days entered for holiday and leave dates.
- Finish Date Realization: Enter the actual finish date for the task and you can then see the task completion performance in the following column, Ahead of/Behind schedule.
- Remaining WD (Workdays): Displays the remaining days to complete the task.
More to Keep in Mind
While this Gantt chart template is simple and intuitive, here are a few notes to keep in mind when using it:
- The start day for each week is Monday.
- The date below the week number (W1, W2, W3, etc.) is the first date of the week.
- The maximum number of tasks allowed in the template is 100.
- A new row will automatically be added as you enter the Level. Do not insert a row manually.
- The date format includes the day of the week as a convenient reminder of which day your date falls on.
- Some parts of the template are password protected, but this will not affect its use.

Those people getting #NAME? errors with Excel2003 and WorkingDays less than 7 probably just need to install the AnalysisToolPak Addin to get the NETWORKDAYS(_) function. This did it for me.

Your chart is simply great! It is exactly as I wanted for my project but after I downloaded it i could not see those automatically filling colour bars. Wish it had a percentage coloumn as well.

Hi – thanks for this, great work! My problem seems to be – when I copy and paste from MS Project to Excel the date, 1 day disapears from teh front in the Excel spreadsheet.
i.e. in my schedule Task A starts on the 13th Feburary. In my Excel gantt it shows a start on the 14th Feburary.

Great Gantt template, first of all. I have searched the net for quite some time and yours is the most efficient one I find.
I have a few suggestions though (as mentioned by other users):
– The end date does cannot take date ‘older’ than 29-may-2011. It would be nice if any date would be possible (e.g. start date 16-11-2010 end date 16-11-2012). The funny thing is that when you select weeks and you select 32 weeks, then the end date automatically set the END DATE to 30-may-2011!
-The amount of weeks should be more than 32. I think with the potential of your chart people will easily use it for project/tasks that takes more than 32 weeks to complete.
-The Finish date does not accept dates ‘older’ than 32 weeks (I guess). So 29-may-2011 is the oldest. It looks like everything is pretty much limited to 32 weeks, so you probably have a variable defining this limit?
Do you have suggestions how to (maybe) quickly modify this limit?

Thanks for the template it is helping tremedously. I’m having trouble adjusting the “END DATE” When I go to change it from 12/15/2010 to 12/30/2010 it says “The valu to be entered must be a date between =#REF! and =#REF!+224” Any suggestions?

This is a Terrific worksheet. It’s very easy to use and offers useful options (such as work days in workweek)that are absent from other templates. The only limitation is not being able to schedule more than 32 weeks. 52 week would be great, 2, 3 or 4 yrs would be better. I know you responded by saying that it is coming soon but I just wanted to get my feedback out to you. Another improvement would be to add the ability to create a vacation list so that the days are not counted as work days.

To anyone asking for what WD, DC and DR stand for, I suggest to test the template yourself especially for the start and end dates for each task level. You will understand quickly
WD = Working Days
DC = Days Completed
DR = Days Remaining

Great tool.
It would be good to be able to do at least 52 weeks. In addition to that, the start and end date are ok, but generally you have two things with a project – the end date that the customer wants the project and the other is the hours to complete the project which could be more than the allotted time, in which case you have to hire more people.
Is there anyway to accomodate this into your spreadsheet?

Great chart, two things that for me inprove it visually. The weekly columns are offset by one row throwing off the gantt chart markers. Plus I would love to change the marker color for different vendors on a project, how can I do that?

@Daron : You can unprotect it without password.
@Greg : This gantt chart design for maximum 32 weeks because of excel 2003 column limitation, and I haven’t add new week columns in excel 2007 version. I will add it later.
@Matt and Martin : You should activate analysis toolpak add-ins. Go to excel menu > tools > add-ins and tick the analysis toolpak. And all function should work correctly. If you still have a problem after following these steps, just close your excel and open it again.

I have to agree with Matt (on January 18th, 2010 12:12 am). Only the Monday-Sunday option produces correct values for WD, DC and DR; the two other options produce a “#NAME?” error.
Apart from that, it is an excellent tool.
How is the tool to be used for projects lasting (for example), one year?

The error is only evident when working days is Monday-Friday or Monday-Saturday.
Monday-Sunday, the WD, DC and DR calculate correctly.

at this point I have a few questions to ask.
1. I downloaded the demo version, it doesn’t seem to take into account the Holiday List. Does this work? Or it just doesn’t work it the demo version?
2. What about the Level Type option, i.e. the creation of sublevels? Is it preselected or you just insert rows in the table?
3. How to take into account breaches of deadline by any assigned personnel or subcontractors? Just changing the Finish Date? Or perhaps an Added WD column should be added to the table? And then these should be coloured differently to give a graphic representation of the breaches.
4. Is it possible to customize the colouring of various data type (headings, tasks, holidays, etc.)?
5. As for updates: are they applicable to a data filled file? So the user doesn’t have to copy staff into a new file version.
So far for now.

Hi,
I recently downloaded your Gantt chart. I noticed that the time or period of a project is limited to 120 weeks. The projects I do usually span over 2-3 years. Is there any way to increase the time period in the chart?
The holiday lines are also a maximum of 25 lines. But in a year, there are 18 public holidays. So, if a project is 2 years, I would need to input at least 36 dates. Is there a way to work around this?

1) View Gantt Chart via a drop down list for daily, weekly, monthly view under single window ?
2) Add a predecessor column where in any task marked with predecessor will automatically calculate the revised date with Lead time or lag time.

I think your Gantt Chart Template is great. However, I do not know how to change charts once they have been created. In others words how do you add in a task or sub-task within an already created task list and how do you delete a task or sub-task in such a list?

I like your grantt chart template very much.
I would buy it if I need that.
For now, I want to buy a much simpler template from you which you may customize with following feature:
o. I need the project start date, finish date/week etc. (the settings area) as existing in this grantt chart template.
o. Now, when I input desired Project Weeks (Total) in settings area, same number of cloumns of weeks will appear in display with W1, W2 etc. Every cell of these columns should be edited, updated with any text, formulas, I want.
o. But, no scheduling options is necessary i.e., start/finish date against tasks are not needed.
o. But, level options and updating of tasks are needed.
o. Other than that I need flexibility of inserting any column/rows below the tasks table and outside weeks’ columns area so that I could customise the thing as per my need.
Actually, I don’t know how you can control/use to feature in this sheet.
1. level/task option: A new row reveals automatically if you type a level 1, 1.1, 1.1.1 with different color. That I need.
2. updating Week number and new columns with W1, W2 apear.
If you keep my request and give me this kind of template (very simple for you), I am ready to pay $10.
